Preparing Canada–U.S. truck freight

Treat shipping documents and border preparation as part of the pickup plan.

Identify the parties early

Confirm the shipper, consignee, importer and appointed customs broker before pickup. The delivery address may differ from the importer’s business address. Give the transportation team a usable broker contact and reference for the shipment.

Prepare consistent shipment information

The commercial invoice, packing information and transport instructions should describe the same goods, quantities and parties. Ask the broker what is needed for the particular product and direction of travel. Country of shipment and country of origin are different facts.

Align transport and release references

The carrier and customs broker use transport references to connect the shipment with the appropriate border filings. Follow the references provided for the actual movement, including PARS or PAPS where applicable. Do not reuse a reference simply because an earlier shipment was similar.

Leave time to resolve missing details

Send documents while there is still time to correct an address, clarify a product description or supply missing information. A dispatched truck is not evidence of customs release. The broker and border authorities have responsibilities separate from transportation.

Keep the receiver informed

Border timing, examination or missing documents can affect a delivery appointment. Confirm who will communicate changes and how the receiver will handle a revised arrival. This guide is general preparation information; the appointed broker should confirm shipment-specific customs requirements.
